Senior Office Coordinator

The Quarto Group is seeking an enthusiastic and organised Senior Office Co-Ordinator. This is an exciting opportunity, working with an international publisher, based at our Head Office in London.

Duties will include, but not limited to:

Smooth running of offices

  • Managing and operating Reception at our Head Office in London (Islington)
  • Receiving visitors and deliveries
  • Answering calls, responding to e-mails
  • Ordering general office supplies, and calling-out contractors:
  • Ordering stationery, photocopy supplies and toners for three UK offices; office consumables like milk and food deliveries; courier services; and so on
  • Maintaining the working environment: liaising with cleaning contractors, arranging repairs & maintenance via contractors

Assisting with Book Fairs (exhibitions)

  • Working with the project team and appointed contractors to help Quarto's sales and publishing teams prepare for three international book fairs (London, Frankfurt, Bologna) – arranging the collection of books and exhibition materials from UK offices and having them to be shipped to the book fair
  • Attend book fairs to assist with exhibition stand construction and stocking (pre- and post- fair) – some nights away during this time will be required.

Person Requirements

  • Book fair activities involve lifting of boxes of books so a good degree of fitness is required
  • Computer literate – a lot of project co-ordination/communication occurs via e-mail
  • Strong communication and organisational skills – book fair projects require a lot of co-ordination and the need to work as part of a project team
  • Presentable – you will greet visitors
  • Good time management
  • Good knowledge of building disciplines (e.g. air conditioning, plumbing, etc.) – comfortable that you can discuss issues with office users and maintenance contractors
  • Independent – working with little supervision as you manage the various streams of activities related to the book fairs and office support activities


  • Health and Safety knowledge/qualification
